Finance Analyst

Status:Full-time: 40 hours per week. Exempt
Salary Range:$62,000-77,000

Job Summary 

The Finance Analyst is a key member of Manna Food Center’s Administrative team, responsible for coordinating and augmenting the accounting and bookkeeping functions provided by our outsourced accounting service provider and coordinating internal activities that interact with the finance function.

The Finance Analyst will manage the annual planning and budget process and ensure effective communication and coordination of program activities, grant and contract invoicing and will develop and distribute financial reports.

They will work closely with our staff with the goal of ensuring participants have access to the maximum food and nutrition benefits available to them through local, state, and federal programs.

Duties and responsibilities include, and are not limited to the following:   

Contract and Grant Administration:

· Track monthly cycle of grant reporting, invoicing, allocation and budget management.

· Manage and coordinate invoice or portal submissions to meet funder requirements.

· Develop and maintain process documentation.

Budgeting and Forecasting

· Develop and manage appropriate worksheets and other tools to support the annual budget and planning process.

· Provide assistance and expertise to program analysis activities.

· Prepare presentations of financial data, including key performance indicators that provide actionable insights for leadership.

Annual Audit

· Assist with annual audit and serve as primary contact for accounting service provider, review preliminary documents and findings.

Payroll

· Oversee bi-weekly payroll entry, manage distributions, withholdings, in coordination with People and Culture team.

Month End Closing

· Coordinate monthly closing process with accounting service provider and Manna staff.

· Prepare supplementary monthly financial reports, supporting planning, operations and program functions.

Accounts Payable

· Manage enrollment of vendors into payables system.

· Oversee coding and submission of monthly credit card expenses.

· Develop spending and vendor analyses to ensure appropriate stewardship of funds.

Other

· Ensure integrity of inventory and other management control systems.

· Maintain accounting process calendars and procedures.

· Ensure compliance with business licensing and other registration requirements.

· Oversee daily receipt processing and deposits.

Minimum Requirements 

· Self-directed, highly motivated, reliable

· Bachelor’s degree in business, management, or related discipline.

· Strong analytical and problem-solving skills.

· Proficiency with QuickBooks Online.

· Experience in non-profit accounting and following GAAP principles.

· Proficiency with Microsoft Office Suite.

· Intermediate to advanced Excel data analysis and manipulation skills.

· Excellent presentation, written and verbal communication skills.

Physical Demands 

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to remain in a stationary position 50% of the time. The person in this position needs to move inside the office to access file cabinets, office machinery, etc. The employee constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. The person in this position frequently communicates with the public, volunteers, and vendors and must be able to exchange accurate information in these situations. The employee must occasionally move objects up to 20 pounds.

Environmental Conditions 

When work in the warehouse is required, the employee will be exposed to a variety of fluctuating environmental conditions within the building including heat and cold. The employee must be able to work in these conditions for up to one hour at a time.

Donor Relations Coordinator

Reports to:Database Manager

Status:Exempt, full-time, 40 hours per week
Salary Range:$40,500-45,000

Job Summary 

Support the Development and Communications Department by implementing the fundraising plan and strategic goals of Manna Food Center. The Donor Relations Coordinator will be the first point of contact with our donors handling all incoming donor communication via the donor services line and inbox. Additionally, this position is instrumental to our data entry for gift management. In addition, this position will contribute to the execution of donor stewardship activities including making and tracking thank you calls and sending correspondence to donors for retention purposes. The Donor Relations Coordinator will be required to be on site at least 3 days a week.

Summary of Essential Functions

Manage all incoming calls and emails from the donor channels:

a) Strive for first call resolution of emails

b) Manage Manna’s primary email account by triage and respond to needs appropriately and timely

 

Gift Processing/Database

a) Perform data entry- enters donations (monetary and in-kind) into Salesforce database in a timely manner

b) Campaign Tracking- works with Database Manager by providing accurate campaign/engagement tracking guaranteeing all contributions are appropriately applied

c) Support the Development team with donor relations including tracking donor feedback, donor requests and donor preferences into Salesforce database

 

Back up Mail Processes

a) Provide back-up to open donor mail

b) Sort and batch checks by type, scan to Development and Communications contacts and send live checks to Finance

c) Provide back up to database manager

 

Minimum Requirements and Required Core Competencies

  • At least 2 years of experience in customer service support.
  • Strong interpersonal communications skills, ability to empathize and connect with people
  • Strong customer service skills.
  • High proficiency using Microsoft Office Suite

 

Preferred Qualifications

  • Must have a customer service mindset – ability to solve for the donor and create lively and memorable experiences for donors
  • Minimum of 2 years of experience in a nonprofit donor relations setting interfacing with donors directly through phones and emails
  • Minimum 1 year of experience working within a relational database environment preferably SalesForce
