Accounting Manager

The Accounting Manager is a key member of Manna Food Center’s Administrative team, responsible for all accounting and bookkeeping functions, ensuring all financial information is appropriately and accurately recorded in the accounting system, completing budget and forecast, and preparing both the monthly and year-end financial statements. The Accounting Manager is tasked with ensuring organizational fiduciary duties are consistent with non-profit GAAP standards. S/he will work closely with our staff with the goal of ensuring participants have access to the maximum food and nutrition benefits available to them through local, state, and federal programs.
Reports to: Director of Administration
Direct Reports : PT Bookeeper
Status: Full time – 40 hours per week, Exempt
Duties and responsibilities include, and are not limited to the following:
General Ledger
· Review general ledger and prepare journal entries/adjustments as needed to correct balances;
· Assist in the transaction preparation, posting and reconciliation for all books of account and related journals;
· Reconcile general ledger accounts and bank statements as part of closing out the month, the year, and grants;
· Prepare grant reports with supporting documentation in collaboration with grants compliance and program staff.
Month End Closing
· Manage the monthly accounting close process and meeting reporting deadlines;
· Create and present daily and monthly journal entries for approval;
· Prepare monthly revenue financial statements, supporting account analysis, and budget to actual variances;
· Prepare monthly revenue recognition journal entries;
· Develop, assign and review monthly account analysis.
Accounts Receivable
· Manage all contract, product and service invoicing and ensure grantors are billed accurately and timely;
· Analyze accounts receivable aging reports to determine if there are any issues;
· Manage and coordinate the follow-up with grantors regarding outstanding payments.
Accounts Payable
· Review and distribute vendor invoices to appropriate manager for approval for payment;
· Enter invoices into QuickBooks and print checks;
· Analyze expenses and contracts to look for cost savings opportunities.
Budgeting and Forecasting
· Work with the Director of Administration with developing the annual budget;
· Work with the Director of Administration with monthly forecasting activities of support, revenue, and expenses;
· Prepare profitability analysis for programs and services.
Annual Audit
· Create and enter closing entries and those prepared by the external auditors;
· Prepare year-end work papers as assigned by the Director of Administration or requested by the external auditors;
· Create or gather all documents requested by the auditor, provide on-site support during audit fieldwork, and help review and approve the audit draft before statements are finalized.
Taxes
· Prepare, if necessary, the annual IRS Form 990 and Form 990-T and supporting schedules;
· Prepare the Annual IRS Form 1099s.
Other
· Prepare Quarterly Investment reconciliations;
· Prepare fixed asset schedules;
· Determine quarterly tracking of and reporting of restricted funds/net assets;
· Record inventory adjustments throughout the year ;
· Maintain the Accounting Manual;
· Submit state registration for fundraising activities
· Prepare bi-weekly payroll and appropriate distribution to retirement plan accounts;
· Manage the QuickBooks file, and provide backup to the Director of Administration;
· Do other tasks as assigned from time to time by the Director of Administration.
Minimum Requirement
· Self-directed, highly motivated, reliable
· Bachelor’s degree in Accounting
· Minimum of 5-years’ experience using QuickBooks (Advanced) accounting software
· Minimum of 5 years’ experience in non-profit accounting and following Generally Accepted Accounting Procedures and Accrual Accounting
· Knowledge of Microsoft Word, Excel, and Outlook Calendar
· Excellent presentation, written and verbal communication skills
· Must respect and protect the sensitive nature of personnel information
· CPA or CPA candidacy preferred
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to remain in a stationary position 50% of the time. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. The employee constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. The person in this position frequently communicates with staff, board members and vendors and must be able to exchange accurate information in these situations.
Environmental Conditions:

Bookkeeper

The Bookkeeper is a key member of Manna Food Center’s Administrative team, responsible for assisting with accounting and bookkeeping functions, ensuring all financial information is appropriately and accurately recorded in the accounting system, completing booking and accounting tasks, and assisting our primary accountant with preparing both the monthly and year-end financial statements. This position will focus heavily on accounts receivable and accounts payables but incumbent must be able to roll up their sleeves to assist in a wide variety of accounting tasks if needed. S/he will work closely with our staff with the goal of ensuring participants have access to the maximum food and nutrition benefits available to them through local, state, and federal programs.
Reports to: Accounting Manager
Status: Part Time – 24 hours a week, Non-Exempt
Summary of Essential Responsibilities:
1) General Ledger
· Review general ledger and prepare journal entries/adjustments as needed to correct balances as assigned;
· Assist in the transaction preparation, posting and reconciliation for all books of account and related journals;

· Process and record daily electronic deposits (QGive batches, daily check receipts, etc.)
· Assist in contract management, product and service invoicing and ensure grantors are billed accurately and timely;

· Assist in managing and coordination of follow-up with grantors regarding outstanding payments.
4) Accounts Payable

· Complete payments and control expenses by receiving payments, plus processing, verifying and reconciling invoices.

Temporary Food Distribution Assistant
Reports to: Director of Logistics
Status: Part-time; Non-exempt.
Job summary
This position is part of a team that offers food service to community individuals in need. A Temporary Food Distribution Assistant is responsible for supporting the distribution of food through direct interactions with the public at Manna distribution sites.
Essential Job Functions:
1) Distribute food at assigned sites in Gaithersburg, Germantown and Silver Spring
Assist with directing cars to a drive thru line and participants on foot to a walk up table.
Assist with unloading boxes from truck at site upon arrival and reloading truck at the end of distribution.
Ensure participants are treated with respect.
Ensure participant sign-in sheet is completed for each person when picking up food.
Help participants load the food into their cars or other transportation following current guidelines.
Contact Call Center staff for participant referral verification when name does not appear on daily pick up list.
Complete and return add on forms for new participants as approved by Call Center staff.
Follow all safety guidelines required by Manna Food Center.
Assist with maintaining an orderly and respectful atmosphere.
2) Other Responsibilities
Assist in the warehouse as required.
Other duties as assigned or required.
Job Requirements:
Ability to lift objects of 50 pounds continually and up to 100 pounds waist high occasionally and load them into vehicles.
Exceptional customer service.
Ability to work as a part of a team as well as individually.
Bi-lingual in English/Spanish is a plus.
Hours and Salary
Number of hours available range from 8-18 per week depending on assigned sites.
Hourly rate of $15.25 per hour
Temporary positions will continue as needed throughout the COVID-19 emergency.

SNAP Outreach Coordinator
Reports to: Participant Services Manager
Direct Reports: None
Status: Part-time; 20 hours per week.
Job summary
Manna’s strategic plan beginning in fiscal year 2021 includes a priority of addressing determinants of poverty and health. The SNAP Outreach Coordinator will serve as a conduit between Manna and the community members we work with by providing direct outreach and application assistance to communities and individuals eligible to receive Food Supplement Program (FSP or SNAP). S/he will work closely with our community engagement staff with the goal of ensuring participants have access to the maximum food and nutrition benefits available to them through local, state, and federal programs.
Essential Job Functions:
Create consistent opportunities for outreach with Manna partner agencies and other
community providers. The focus will be on priority populations including, residents in priority zip codes, residents for whom English is a second language, seniors, and Able-Bodied Adults without Dependents (ABAWDs). For the time being, due to the pandemic, this includes remote gatherings with a return to in-person gatherings when it is safe to do so.
Distribute FSP-related communication tools developed by Maryland Hunger Solutions and other
partners and modify them for Montgomery County to attract participants and share
information.
Record and track the results of outreach activities.
Use MDThink software to assist residents with SNAP applications.
Follow up with applicants to capture outcomes data on application assistance.
Support the operations of the Participant Services Call Center as needed.
Minimum Qualifications
