Job Summary:
The Volunteer Coordinator reports to and coordinates with the Volunteer Manager. Additionally, the Volunteer Coordinator supports the Volunteer Manager by overseeing the day-to-day volunteer functions such as recruitment, training, and scheduling. The Volunteer Coordinator will be responsible for the Alternative Community Service (ACS) program, which provides opportunities for adult offenders to perform meaningful service to Montgomery County, the Student Service Learning (SSL) program, which provides opportunities for middle and high school students, and the onboarding and coordination of high school interns.
The Volunteer Coordinator’s primary location will be at Manna’s Gaithersburg warehouse but will be expected to have a regular presence at volunteer sites.
Key Responsibilities:
- Work with the Volunteer Manager to manage the volunteer lifecycle: recruitment, training, retention, engagement, supervision, and recognition of all groups or individual volunteers.
- Identify and attract potential volunteers through various channels such as Manna’s website and the Montgomery County Volunteer Center website.
- Act as the main point of contact for all volunteers, serving as a liaison between volunteers and the Volunteer Manager.
Summary of Essential Job Functions:
- Coordinate with the Development Team to ensure a high-quality experience with Manna Food Center, inviting individuals, corporate groups, and community groups into the full cycle of engagement.
- Create and implement training materials for all critical functions (e.g., sorting/box packing) to ensure volunteers understand their responsibilities and work-site expectations (e.g., check-in process).
- Ensure all volunteers follow the onboarding process, including training, orientation, and ensuring compliance with the Volunteer Handbook.
- Manage all volunteer communication, including phone calls, emails regarding requests, cancellations, reminders, confirmations, reassignments, thank you notes, and more.
- Collaborate with the Volunteer Manager and coordinate with Manna Staff Departments to effectively incorporate volunteers into different shifts and roles across Manna Food Center.
- Develop and maintain volunteer job descriptions for each volunteer role in collaboration with the Volunteer Manager and department leads.
- Coordinate weekly volunteer schedules to meet the operational daily needs of the organization and for all external events such as food drives and pop-up pantries.
- Monitor schedules for any gaps or cancellations and coordinate with other volunteers to secure coverage as necessary, ensuring that staff members are informed of the volunteer schedule and any updates.
- Design, prepare, and distribute volunteer recruitment materials for external events.
- Assist the Volunteer Manager with internal and external event planning, recruitment, and on-site management of volunteers, including Volunteer Appreciation Day.
- Serve as the main contact for the ACS program and SSL program, ensuring compliance with the MCPS SSL program.
- Work with the Volunteer Manager and coordinate with the Communications Department to develop and prepare quarterly print volunteer newsletters and e-newsletters.
- Attend meetings on behalf of the Volunteer Manager in their absence and serve as a representative for the Volunteer Manager as needed.
- Perform all other duties as assigned.
Reporting:
- Maintain accurate records of volunteer hours, activities, performance, and any other volunteer metrics set by the Volunteer Manager.
- Compile, track, and report all community, SSL, and ACS hours.
- Utilize volunteer management software to track information, manage applications, and volunteer shifts.
Minimum Requirements:
- Associate Degree and/or 3 years of equivalent combination of education and experience preferred.
- Strong leadership, teamwork, problem-solving, and time management skills.
- Ability to think creatively and strategically.
- Ability to coordinate well and work with all stakeholders.
- Strong oral and written communication skills.
- Knowledge of the community, community food systems, evaluation, and program management.
- Ability to meet deadlines in a timely fashion with attention to detail.
- Possess excellent interpersonal skills in a diverse environment.
- Knowledge of Microsoft Office Suite and volunteer management software.
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to remain in a stationary position 50% of the time. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. The employee constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. The person in this position frequently communicates with the public, volunteers and vendors and must be able to exchange accurate information in these situations. The employee must occasionally move objects up to 30 pounds.
Environmental Conditions: While training volunteers and at off-site events, the employee will be exposed to a variety of fluctuating environmental conditions including heat, cold, rain and snow. The employee must be able to work in these conditions for up to 2 hours at a time.

Job Summary: The Volunteer and Community Engagement Manager is responsible for the successful hands-on management of Manna Food Center’s volunteer program, including recruitment, retention, engagement, and recognition of all volunteers, such as corporate and community groups and individual volunteers. The Volunteer Manager will focus on growing the volunteer program and meeting the identified operational, program, and event needs. The Volunteer Manager will work collaboratively with Manna Food Center staff, including the Development, Community Impact, Logistics, and Operations teams. This position requires the ability for flexible scheduling during the work week, Monday through Friday, in accordance with the activities planned for each day. Occasional availability for weekend activities may be expected.
Key Responsibilities:
- Supervise and mentor the Volunteer Coordinator, providing guidance, support, and performance feedback.
- Manage the entire volunteer lifecycle, including recruitment, training, retention, engagement, supervision, and recognition of both individual and group volunteers, while ensuring that the Volunteer Coordinator adheres to established processes.
- Develop, implement, manage, and evaluate the Manna Food Center Volunteer Program.
- Initiate and maintain relationships with local organizations, companies, schools, interns, and civic groups that volunteer or would like to volunteer with Manna Food Center
Summary of Essential Job Functions:
- Meet regularly with Manna Food Center’s managers to determine departmental needs and opportunities for volunteer engagement.
- Develop strategies for recruiting, retaining, engaging, and placing volunteers to fulfill the operational requirements of Manna Food Center while also addressing volunteer expectations.
- Conduct tours of the Warehouse for corporate groups interested in engaging in volunteer activities.
- Develop ideas for increasing corporate volunteer engagement and opportunities, including Community Days of Service, and work collaboratively with the Development Team to leverage corporate volunteer efforts for fundraising opportunities.
- Represent Manna Food Center and its volunteer needs in all possible venues, including participation in Food Drives, Volunteer Fairs, Day of Service Presentations, and conducting presentations to community/corporate groups.
- Serve as a liaison to the Development Team to identify and recruit new corporate partners to increase volunteer engagement and enhance the quality and quantity of food drives, with the goal of establishing new collaborative partnerships.
- Develop and maintain the Volunteer Handbook and ensure the Volunteer Coordinator incorporates it into training resources.
- Serve as the key point of contact in the development of high-level communication to volunteers, leadership, and other stakeholders.
- Facilitate high-level volunteer special events through effective interdepartmental communication, strategic planning, volunteer management, and engagement.
- Plan and organize the Volunteer Appreciation event in collaboration with the Volunteer Coordinator.
- Perform all other duties as assigned.

The Advocacy Manager will play an important role in supporting the development and implementation of Manna’s advocacy program by working closely with the Chief Executive Officer (CEO), the Community Impact Director and team, and the Advocacy Task Force (ATF) to develop and implement an annual/multi-year advocacy strategy.
Key Responsibilities
- Active engagement in the creation and execution of Manna’s advocacy strategy.
- Ensuring that there is a constant flow of information between Manna staff, Advocacy Task Force, and external partners in government and the nonprofit sectors to ensure maximum impact of Manna’s advocacy initiatives through collaborative efforts.
- Staffing the Advocacy Task Force, ensure that ATF members stay engaged and actively support Manna’s advocacy efforts, and work with ATF members to ensure the success of Manna’s advocacy priorities.
Summary of Essential Job Functions
- Developing and implementing annual advocacy strategy, in partnership with CEO, Community Impact Director, other Manna staff, and the ATF:
- Ensure that Manna’s advocacy priorities reflect program and operational realities, in particular aligning its advocacy approach (amplifying voices, working in coalition, and building relationships) with Manna’s three-pronged organizational mission (food distribution, education, and advocacy)
- Coordinate with partners both within and outside government to determine overlap and potential points of leverage in developing advocacy goals
- Engage participants and community members to identify priorities that could be addressed via Manna advocacy
- Situate Manna’s advocacy priorities primarily within the context of County and State initiatives.
- Support the development of the organization’s annual advocacy work plan and framework for monitoring progress, communicating outcomes, and assessing impact.
- Managing The Advocacy Task Force:
- Support identification and orientation of new ATF members
- Facilitate quarterly meetings (prepare agenda, oversee follow-up, etc.)
- Obtain input from and engage Taskforce members to support the implementation of Manna advocacy strategy
- Serve as liaison between the Advocacy Task Force, Manna staff, and CEO.
- Cultivating relationships and opportunities that strengthen Manna’s advocacy efforts and impact:
- Monitor county, state and federal level developments relating to food systems, including the National Strategy on Hunger, Nutrition, and Health, and alert Manna’s advocacy decision-makers to developments requiring a timely response.
- Represent Manna on relevant workgroups and committees within the food sector and have awareness of intersectionality with health, economic development, housing, and other issues
- Support Manna’s advocacy efforts during the annual Montgomery County and state budget cycle to achieve organizational goals
- Promote regular evaluation and reporting of Manna’s advocacy accomplishments, using both qualitative and quantitative methods
- Work with Development and Communications team to:
- Inform stakeholders, including donors, of advocacy successes via social media and other channels by providing content and consistently updating Dev/Com about program activities.
- Support revenue generation and program sustainability by regularly sharing program goals, statistics, outcomes and capacity to ensure accurate information in grant applications and reports and to inform the identification of funding sources.
Minimum requirements
- Minimum of 2 years of experience in food policy, advocacy, and/or community organizing
- Excellent communication skills and ability to build relationships with diverse stakeholders including policymakers and community members
- Excellent organizational skills and superb attention to detail.
- Strong analytical, research, and problem-solving skills.
- Ability to prioritize and execute on a wide variety of diverse and concurrent responsibilities.
- Interest in and experience with partnership development and management
- Experience working successfully in teams and collaborating with co-workers and peer organizations
- Proven proficiency with Microsoft Office software suite, especially Excel.
